This policy is intended to operate in Western Australia and must be applied consistently with applicable Western Australian and Commonwealth laws, regulations and safeguarding obligations.

Purpose and Scope

This policy applies to all staff, contractors, volunteers, Queens (participants) and families when communicating about Queen Mode programs, activities or Queens through digital, online or social media channels.

Approved Communication

  • Use only communication channels authorised by Sports And Fitness Experts, including approved email, phone, messaging, booking or program platforms.
  • Keep all communications professional, respectful and appropriate to the Queen’s age, role and circumstances.
  • Include parents or guardians in formal communications involving minors unless a documented safeguarding, privacy or legal reason requires otherwise.
  • Do not use disappearing, private or unauthorised channels to avoid approved communication processes.

Social Media

  • Do not post confidential, identifying or sensitive information about Queens.
  • Do not tag, identify or publish images of Queens unless prior written authorisation has been obtained from the Queen or, for minors, their parent or guardian.
  • Do not post humiliating, sexualised, threatening or otherwise inappropriate content about Queens.
  • Staff must maintain professional boundaries on personal accounts.
  • Queens and families must not bully, harass or share another person’s private information through Queen Mode channels.

Emergencies

Digital messaging is not a substitute for emergency services; call 000 immediately if there is immediate danger or a serious risk to a person’s safety.

Breaches and Reporting

Suspected breaches of this policy must be reported as soon as practicable to the designated Queen Mode contact, manager or safeguarding lead and may be handled under conduct, safeguarding, privacy or complaints procedures.
